Administrative Associate

Grounds For Sculpture (GFS) is at the beginning of a long path toward building a more equitable, diverse, and inclusive (EDI) institution. Grounds For Sculpture is seeking a part time Administrative Associate to join our Admin team. Under the direction of the Chief Financial Officer / Chief Operating Officer, the Administrative Associate supports the daily operations of the Financial, Human Resource and Operations work of the Administration department through administrative support.

Duties and Responsibilities 

  • Responsible for effectively supporting the finance and human resource team
  • Enter, reconcile and file bills
  • Assist in cash reconciliation
  • Maintain the office and kitchen supplies through tracking + ordering when needed
  • Serve as an ambassador for Grounds For Sculpture to help foster a culture of inclusion for all members, donors, volunteers, and guests.
  • Assist in the management of IT related equipment and staff support tickets
  • Responsible for full process of new vendor profiles
  • Assist in the recruitment process such as posting jobs, assisting hiring managers in use of platform + scheduling of interviews
  • Initiate background checks for new hires, volunteers + interns
  • Responsible for minutes in monthly and quarterly meetings
  • Assist employees in navigating HR employee self-service system
  • Handling of employee issued cell phones
  • Responsible for sending employee birthday cards, anniversary cards + additional milestone gifts
  • Perform general office duties, attend meetings; assist with appointments and calendars.
  • All other duties as assigned.


  • Must possess the highest degree of discretion and confidentiality
  • Exceptional written and verbal communication, including excellent interpersonal, and writing skills.
  • Must be highly organized and detail-oriented, able to multitask.
  • Ability to develop and maintain positive and productive relationships with colleagues
  • Must exhibit strong independent working skills with the ability to engage in collaborative work with minimal direction; but understands when to ask for help or guidance when making critical choices.


  • Experience working within a nonprofit or other transferable experience a plus.
  • Demonstrate respect and inclusiveness to all employees, embracing differences
  • Advanced Microsoft Office skills required
  • HRIS systems and/or QuickBooks experience a plus\
