Brief Job Overview/Summary
The Assistant Director of Advancement Services on Scholarships manages the complex and highly confidential process of awarding and stewarding Foundation Scholarships. This role involves close collaboration with the Development and Alumni Relations team to manage all aspects of the foundation scholarship funds across three different software systems. The Assistant Director will also provide stewardship to donors, effectively conveying the University and Foundation’s appreciation and gratitude for their support. Additionally, this position requires interacting with software support centers and supporting donors, students, recipients, applicants, parents, critical University departments, and employees.
Descriptions of Essential Duties/Responsibilities:
- Serve as a subject matter expert on Foundation Scholarship Management and Stewardship software (Blackbaud Award Management), demonstrating full command and proficiency in utilizing the software
- Administers and interprets applicable principles, federal and state laws, and regulations regarding public institution distribution and management of Foundation Scholarships
- Provide comprehensive training for the eighteen-member Foundation Scholarship Selection Committee and other relevant campus partners on effectively using Foundation Scholarship Management software
- Ensure the timely distribution of scholarship award letters through the scholarship software
- Assist with determining and identifying Foundation Scholarships awarded annually, notify recipients, and request appropriate acknowledgment
- Advises and counsels students, parents, donors, and prospective students with Foundation Scholarship inquiries
- Provide a high level of stewardship to constituents, including distributing annual donor appreciation letters and endowed statements through the Foundation Scholarship software
- Coordinates with the Director of Communication and Stewardship in promoting, planning, organizing and executing the Annual Scholarship Recognition Dinner
- Develop, compile, and disseminate precise, technically sound, and explanatory reports from Argos, Blackbaud Award Management, and CRM Advance to support the department and campus partners in scholarship and stewardship statistics and information
- Collaborate with Advancement Services and Finance teams to monitor progress and establish new Foundation funds
- Proficiency and knowledge of Banner Forms, and CRM Advance Designation module and record management
- Continuously review and evaluate workload and ways to streamline the scholarship processes and promptly update the Foundation Scholarship website and Scholarship Management software
- Other Duties as Assigned
Required Qualifications
- Bachelor’s Degree
- Two years job related experience
- Proficiency in MS Excel, and MS Word, as well as complete command of internet navigation and research

Applicants who do not possess the required education may substitute required experience on a year-for-year basis (30 credit hours is considered one year of college).
A Ph.D. degree or an Ed.D. degree may be substituted for two years of the required experience.
Knowledge, Skills and Abilities:
- Excellent organizational skills; ability to handle multiple assignments simultaneously and to work well under pressure
- A demonstrated ability to quickly learn and adapt to new technology
Preferred Qualifications:
- Experience in one or more of the following areas: a university environment, Banner (Finance, Financial Aid or Advancement Module), accounting, or business
