Development Administrative Assistant


Ranch Hope, Inc. is seeking a part time Development Assistant to assist the Development Department with organizing correspondence, schedules, activities, reports and appointments. This individual will serve as the Administrative Assistant to our Founder and will have excellent interpersonal and organizational skills while interacting with co-workers, donors, volunteers, visitors and callers.

Ranch Hope is anon-profit Residential Treatment Center with locations in Salem and Gloucester Counties. Since 1964 our mission has been to transform lives through Christ-centered love and compassion while providing residential treatment, shelter, camp, special education and independent living services to youth from throughout the state of New Jersey. Knowledge

  • Basic knowledge of social media platforms, including Facebook, Twitter, Pinterest, Instagram, etc
  • Advanced knowledge of Microsoft Office programs to include Word, Outlook , Publisher and Excel
  • Technical understanding of Donor Perfect
  • Basic knowledge of audio editing software and iTunes
  • Understanding of business etiquette

  • Ability to clearly and professionally express ideas verbally and in writing
  • Ability to maintain confidentiality and discretion relating to all departmental issues
  • Ability to type and proofread correspondence for accuracy
  • Ability to maintain confidentiality and discretion relating to all departmental and Ranch-wide issues

Duties & Responsibilities:·

  • Assist in event planning and coordination of fundraising activities·
  • Attend community events as a representative of Ranch Hope
  • Answer and direct incoming telephone calls and greet Ranch Hope visitors·
  • Take and relay accurate, concise and timely telephone messages·
  • Read and route incoming mail and e-mails
  • Assist in preparing and shipping bulk mailings·
  • Burn radio broadcasts to CDs and send files electronically when needed to radio stations
  • Provide administrative support to the radio ministry
  • Carry out errands for Founder as needed
  • Coordinate recruitment and outreach of volunteers
  • work with volunteers and auxiliary groups in an effort to make their participation exceptional
  • Compose routine correspondence such as letters, e-mails and faxes using standard business format
  • Organize and maintain departmental files
  • Coordinate appointments and meetings for Department
  • Order and maintain supplies for the department and make arrangements for equipment maintenance as needed

Education & Professional Experience:·

Bachelors in Business Administration, Communications, Public Relations or Marketing preferred

Continued education in field of business administration, communications, public relations or marketing is preferred

Two years administrative experience in an office environment

Certifications/Licenses Required:

  • Must possess valid NJ Driver License

Physical Abilities:

  • Hearing and speaking to exchange information
  • Seeing to read materials and correspondence
  • Dexterity of the hands and fingers to operate business equipment
  • Ability to concentrate on subject matter for extended periods of time
  • Standing, kneeling and bending for short periods of time
  • Sitting for extended periods of time
  • Ability to lift and carry 20 pounds
  • Walking, twisting, stooping, crouching, kneeling, bending over at the waist, grasping, reaching overhead, pulling and pushing as required by the job
