Office Manager
Summary: The New Jersey Center for Nonprofits, New Jersey’s statewide network and champion for the charitable community, strengthens nonprofits individually and collectively through public education, advocacy, management and compliance assistance, and member services, in order to improve the quality of life for all people of our state. We have an immediate opening for an organized, tech-savvy Office Manager to join our friendly, dedicated team and provide a wide range of administrative and office support to facilitate the effective operation of the organization.
This full-time position reports to the President & CEO and works collaboratively with all staff members at the Center. It requires in-office presence at least 2 days a week, with flexible remote/in-office scheduling available.
Primary responsibilities
- Serve as first point of contact for email and phone inquiries from nonprofits, members of the public, and others, fielding or redirecting inquiries as applicable.
- Support bookkeeping function through logging of check and credit card receipts; making deposits; generating accounts payable requisitions; mailing checks; generating invoices and tracking payments; serving as point-person for vendors; and related duties.
- Assist with scheduling meetings, e.g., polling dates, scheduling, emailing meeting notices, setting up Zoom meetings, reserving meeting rooms and arranging refreshments for physical meetings as needed, and supporting administrative aspects of events as required.
- Ensure adequate office supplies for general office or events, placing/monitoring orders as needed.
- Provide support for Center workshops/events by generating attendee lists, printing necessary materials, printing and assembling name tags, and related functions.
- Assist with maintenance of CRM (customer relationship management) database and input of new entries, updating entries and generating reports as needed.
- Assist with occasional mailings and other general aspects of office work.
- Assist with maintaining and updating select pages on the Center’s website.
- Other projects/duties as assigned.
Qualifications
- At least three years of experience in a similar position, with nonprofit or association experience a plus.
- Strong interpersonal, oral and written communications skills.
- Must be proficient working with computer software and office equipment. Strong Microsoft Office software skills such as Word, Outlook, and Excel essential. Experience with online conference/event registration systems and CRM database systems highly desirable.
- Self-directed; able to work independently and prioritize among multiple tasks.
- Strong organizational skills, attention to detail, and problem-solving mindset.
- Ability to make occasional errands near the office; occasional travel to in-state events such as our annual conference.
- Ability to handle sensitive information with discretion and confidentiality.
- Shared commitment to the Center’s mission and values, including a strong appreciation of the role of nonprofits in advancing a thriving, equitable society for all.
- Team spirit essential; sense of humor a definite plus.
Related Functions
- Ability to sit and work at a computer for extended periods of time.
- Ability to move items or boxes up to 35 lbs. as needed.
- Occasional availability during early morning or late afternoon hours at meetings and events throughout the state, some of which may occur outside the typical 9AM-5PM timeframe.
Compensation: $55,000-$60,000/year plus benefits
