Senior Administrative Assistant


Posting Summary: 

Rutgers University-Camden is seeking a highly organized, professional, and proactive Senior Administrative Assistant to support two senior campus leaders: the Senior Vice Chancellor for Enrollment Management & Student Success and the Vice Chancellor for Student Affairs. This role provides high-level, confidential administrative support and plays a vital role in coordinating operations, communication, and logistics across both divisions.
Key Responsibilities:
  • Provide direct administrative support to the executive leadership.
  • Manage complex executive calendars, including scheduling a high volume of meetings with internal and external stakeholders.
  • Coordinate recurring meetings such as board, committee, council, faculty, and budget meetings; prepare agendas, briefing materials, presentations, and follow-up documentation.
  • Organize and manage logistics for projects, events, travel and related administrative tasks.
  • Support the administration of programs and initiatives across both divisions, including process coordination and documentation.
  • Serve as a primary point of contact and liaison with campus partners, students, faculty, staff, vendors, and community leaders.
  • Assist with procedure development and implementation to support the operational efficiency of both offices.
  • Monitor and prioritize workflow, resolve routine administrative issues, and manage sensitive information with discretion.
About the Divisions:
This position supports two mission-critical areas of the university:
  • Student Affairs, led by the Vice Chancellor for Student Affairs, oversees all student life initiatives aimed at enriching the student experience outside of the classroom.
  • Enrollment Management & Student Success, led by the Senior Vice Chancellor, is responsible for student recruitment, admissions, financial aid, retention, and academic support services. These large, complex divisions require support from someone capable of managing multiple priorities and engaging in strategic administrative coordination.

Minimum Education and Experience: 

Requires a bachelor’s degree in a related field, or an equivalent combination of education and/or experience, plus an additional two years of relevant experience.


Required Knowledge, Skills & Abilities: 

Requires a bachelor’s degree in a related field, or an equivalent combination of education and/or experience, plus an additional two years of relevant experience that demonstrates knowledge and understanding of office administration, work organization, coordination, facilitation, bookkeeping, and/or report writing principles and practices. Some previous experience working with executive-level leadership is required. Ability to exercise exceptional discretion, confidentiality and good judgment in dealing with sensitive issues and information. Ability to work independently with limited supervision and as a team member. Strong analytical and problem-solving skills. Effective communications skills, both verbal and written. Proficient in the use of Microsoft Office Suite.


Preferred Qualifications: 

Previous experience working with executive-level leadership in higher education is preferred. Working knowledge of budgetary management and travel systems, PeopleSoft and Cornerstone administrative information systems and processes. 


Equipment Utilized: 

Must have excellent knowledge using Microsoft Office Suite, including Outlook; Oracle (RIAS procurement, Discoverer, PeopleSoft for payroll, HCM, and commitment accounting).
