Welcome Desk Associate
Essential Function
The Welcome Desk Associate (WDA) is responsible for fostering a warm, inviting experience for our guests and patrons, creating an environment for exceptional guest experiences. The WDA provides general administrative support, including selling and verifying membership program registrations through the CCMS/POS/Traction Rec systems, and communicating information regarding our membership plans, available programs, and facility information. When scheduled, the WDA will supervise the Welcome Desk staff, provide managerial-level Kiosk support (for changes and cancellations) and correspond with members as needed.
Duties and Responsibilities
The duties listed below are the primary duties of this position but are not all the duties that may be required. - Provide excellent guest service to the community, ensuring all guests, clients, and members receive prompt, courteous service, following established Camden Kroc Welcome Desk policies and procedures.
- Handle cash, credit card, and check transactions through the Kiosk/POS software. Correctly input all sales and data into the Kiosk/POS System.
- When scheduled, open and close the safe and Kiosks for other Welcome Desk Associates, securing the Kiosk/POS area at the open and close of each shift.
- Complete necessary paperwork for bank deposits at the end of the shift.
- Maintain awareness of all Kroc Center programs to share information with guests and customers.
- Ensure current information and promotional material are always available and visible in the Welcome Desk area so that members, guests, and potential members can access needed information.
- Ensure proper communication regarding membership account inquiries.
- Receive and manage incoming telephone calls, emails, and inquiries in a friendly, professional manner. Direct telephone calls to the appropriate program and staff member promptly.
- Manage customer database and registration process, including on-site registrations, to ensure accurate registration data, fee collections, counts for specific events, etc.
- Ensure walk-ins and payments received at events on-site are recorded in appropriate databases and forwarded to the business department for financial tracking and processing.
- Maintain cleanliness and orderliness of the Kiosk/POS stations, keeping the sales area clean and neat.
- Assist in the ongoing review and input of data received through completed Membership Change forms.
- Assist with community tours and information sessions for members and potential clients.
- Enter all membership information into CCMS/Traction Rec accurately and promptly.
- Ensure steps are followed for membership background checks.
- Be proficient in reviewing and updating account and personal information, as needed.
- Use established procedures to follow up with members with delinquent accounts.
- Supervise Welcome Desk staff in the absence of the Membership & Events Manager.
- Attend to accidents and injuries promptly according to policy, generating legible and accurate accident and incident reports as required and forwarding them to appropriate personnel in the time frames prescribed.
- Ensure guest safety, immediately rectifying and reporting any potentially unsafe conditions to supervisor or security. Coordinate response and direction to members in emergencies.
- Help de-escalate membership/client concerns and work with the security department when necessary to handle delicate matters.
- Report any suspicion of Child Abuse to the appropriate supervisor and Child Protective Services.
- Regularly check email to ensure that recently released information and communication concerning programs, special events, etc., is received and shared with staff.
- Provide administrative support, including filing, data entry, and mailing.
- Provide general support for various events and program services, if needed.
- Adhere to Camden Kroc Corps Center operations policies and procedures.
- Attend all staff meetings as assigned and required.
- Perform related duties as assigned.
Qualifications
- High School diploma or GED equivalency required.
- Previous sales or customer service experience required.
- Strong verbal and written communication skills; bilingual (Spanish/English) is preferred.
- Proven aptitude for problem-solving and an ability to remain calm and hospitable regardless of circumstances.
- Strong interpersonal skills, with the ability to work collaboratively and independently.
- Demonstrable good judgment, resourcefulness, flexibility, attention to detail, and problem-solving abilities.
- Must be able to maintain confidentiality.
- Ability to work well in a fast-paced work environment but still be resourceful and productive during slower-paced times, maintaining composure under pressure.
- Proficient and accurate typing/data entry skills with strong computer and software application skills. Must be comfortable learning new applications with training.
- Must understand and support the mission of The Salvation Army.
- Regularly required to stoop, bend, crouch, and lift up to 25 pounds.
- Must be able to remain in a stationary position for several hours at a time.
